Terms & Conditions
100 Faces of Childhood Project
Last updated: July 23, 2026
1. Application & Selection
Submitting an application does not guarantee participation in the project. Families selected for the 100 Faces of Childhood Project will receive an invitation to reserve a portrait session. Session availability is limited and appointments are offered on a first-come, first-served basis.
2. Session Reservation
Once invited, your session is reserved after completing the booking process and paying any required reservation fee (if applicable). Session dates are limited, and we encourage booking promptly. You will have two days to book your session before we will need to offer the spot to the next family.
3. Rescheduling & Cancellations
If you need to reschedule your session, please contact Hartstein Photography as soon as possible.
Because this project has a limited number of available participants, missed appointments or repeated rescheduling requests may result in forfeiture of your participation and your spot may be offered to another child.
4. Complimentary Portrait
As our thank-you for participating, each family who chooses the Complimentary Portrait option will receive one complimentary 8×10 portrait. Families who choose the Premium and Luxury Portrait options will receive 3 tickets to the Gala as our thank you for participating.
Families will also be invited to view their complete gallery after the session and will have the opportunity to purchase additional portraits, digital images, albums, wall art, and heirloom products if they wish. There is absolutely no obligation to purchase anything beyond the complimentary portrait.
5. Copyright
Hartstein Photography retains the copyright to all images created during the project.
Purchased digital images include a personal print release for non-commercial use. Images may not be altered, sold, entered into contests, or used for commercial purposes without written permission.
6. Artistic Style
By participating, you acknowledge that you are selecting Hartstein Photography because of its artistic style.
All image selection, editing, retouching, and final presentation are completed at the photographer's artistic discretion. RAW or unedited files are never provided.
7. Exhibition & Gala
The 100 Faces of Childhood Project culminates in a public gallery exhibition and gala celebrating the children who participated.
Every participating child will be represented in the exhibit, although the method of display may vary based on the final exhibition design.
8. Image Usage & Model Release
Participation in the project does not automatically grant Hartstein Photography permission to use your child's images for advertising, social media, publications, or future marketing.
A separate model release will be provided, allowing each family to decide whether and how their child's images may be shared beyond the project exhibition.
9. Image Storage
Purchased images are archived for one year following your ordering appointment.
Unpurchased images may be removed from our archives after 30 days. Families are encouraged to safely back up all purchased digital files.
10. Limitation of Liability
If circumstances beyond our control—including illness, emergency, equipment failure, severe weather, or other unforeseen events—prevent your session from taking place, Hartstein Photography will make every reasonable effort to reschedule your portrait session.
If the project or your session cannot be completed despite reasonable efforts, liability is limited to the return of any fees paid.
11. Child Cooperation
Children are photographed at their own pace. While we make every effort to create beautiful portraits of every child, individual expressions and cooperation cannot be guaranteed.
12. Wardrobe
Families agree to follow the wardrobe guidelines provided for the project to help maintain a cohesive artistic vision throughout the exhibition. The studio offers several selections in the Client Closet.
13. Exhibition Artwork
Hartstein Photography reserves the right to select the portrait(s) displayed in the exhibition and accompanying materials to ensure a cohesive presentation of the project.
